Document Controller

Johor
Engineering - Building, Civil, Construction / Quantity Survey

About Our Client

Our client is a well-established electromechanical and MEP construction specialist with over two decades of experience delivering data centre and infrastructure projects across Southeast Asia.

Job Summary

The Document Controller will serve as the central hub for information management on complex data centre and infrastructure projects, ensuring strict compliance with contractual and regulatory standards. This role is critical for maintaining the integrity of engineering, procurement, and construction (EPC) documentation, facilitating seamless coordination between design, site execution, and client stakeholders.

Key Responsibilities

  • Manage the full lifecycle of project documentation, including RFIs, submittals, method statements, risk assessments, and as-built drawings, ensuring all items are logged, tracked, and closed out in accordance with project schedules.
  • Maintain and update the Project Document Register (PDR) and Master File Index, ensuring version control is strictly enforced to prevent the use of obsolete drawings or specifications on site.
  • Coordinate the issuance and receipt of technical documents between internal engineering teams, subcontractors, and the client’s representative, ensuring timely responses to meet contractual milestones.
  • Ensure all documentation complies with relevant industry standards (e.g., ISO 9001, ISO 14001) and specific data centre requirements, such as Uptime Institute guidelines or local building codes in Johor and Bangkok.
  • Support Quantity Surveyors and Project Managers by organizing and verifying technical specifications, bill of quantities (BOQ) references, and variation order documentation to support accurate cost reporting and claims.
  • Conduct regular audits of site document storage to ensure physical and digital records are secure, backed up, and readily accessible for client inspections or third-party audits.
  • Liaise with MEP and civil engineering teams to ensure that design changes are accurately reflected in updated drawings and that all related correspondence is archived for future reference.

Requirements

  • Proven experience as a Document Controller within the construction, engineering, or MEP sectors, with specific exposure to data centre, industrial, or large-scale infrastructure projects.
  • Proficiency in document management systems (DMS) such as Aconex, Procore, or similar platforms, with strong organizational skills to manage high-volume document flows.
  • Strong understanding of construction contract administration, including FIDIC or similar standard forms, and the ability to interpret technical specifications and engineering drawings.
  • Excellent command of English, both written and verbal, with the ability to draft clear, professional correspondence and reports; proficiency in Chinese is a distinct advantage given the company’s origin and regional operations.
  • High level of attention to detail and the ability to work under pressure to meet tight project deadlines, particularly during critical path activities in data centre construction.
  • Familiarity with ISO 9001 quality management systems and experience supporting internal or external audits.
